Privacy policy

Solved Systems is an automation engineering firm based in Houston, Texas. This policy covers solvedsystems.com. It does not cover the systems we build inside a client’s own Microsoft environment, which are governed by that client’s agreement with us.

We collect information when you type it into a form on this site, including partial names, unfinished email addresses, and other entered contact details before you submit. These drafts are saved while you type and when you leave a field or page. Nothing on this site requires an account, and we do not ask you to upload documents.

The contact form collects your first and last name, email address, company, and message. A phone number and company website are optional.

The workflow chat on our home page records what you type, any file you attach, the diagram it draws for you, and the email address you give it. Files you attach are stored privately and are not readable from a public link. If you speak to it instead, your speech is transcribed and the transcript is kept the same way; we do not keep the audio itself. This content is sent to OpenAI through the Vercel AI Gateway to produce the reply and the diagram, and it is stored in our internal systems with your inquiry. We keep what you typed and the diagram for 90 days, and we remove your IP address and browser details from it after 30. If you give us your email address, that conversation is kept with your inquiry as a customer record.

This site uses Google Analytics 4 to understand how visitors find and use it. Google Analytics sets cookies in your browser and collects information such as the pages you visit, approximate location derived from your IP address, your browser and device type, and how you arrived here. When you successfully submit a workflow inquiry, we record that a lead was submitted. We do not send the contents of your message to Google Analytics.

If you arrive from an advertisement, the campaign tags in the link (utm_source, utm_medium, utm_campaign, utm_content, utm_term) are stored temporarily in your browser’s session storage and sent with your form submission so we know which campaign brought you here. That storage is cleared as soon as the form is submitted, and when you close the tab.

If you follow one of our social links, an anonymous post code is stored for up to 24 hours so we can measure which post led to a visit or action. The code does not contain your name, email address, or account ID.

Our host, Vercel, keeps standard server logs that include IP addresses, as any web host does.

We use what you send us to do exactly these things, and nothing else:

• •Reply to you, and hold the conversation you started.
• •Keep the contact details you enter in an unfinished form so we can understand your inquiry and follow up when you have provided a usable contact address.
• •Understand which page or campaign brought you here, so we know what is working.
• •Keep ordinary business records of who we have spoken with.

Unfinished form drafts and form submissions are stored in our own internal systems. Submitted forms are delivered to us by email. Completed submissions are also copied into our internal CRM. A small number of service providers process your information on our behalf:

• •Vercel, which hosts this website.
• •Supabase, which hosts our internal database.
• •Google Analytics, for the usage information described above.
• •OpenAI, through the Vercel AI Gateway, which generates the workflow chat replies, diagrams, and speech transcription.
• •Resend, or Microsoft Azure Communication Services, whichever currently delivers our email.
• •Microsoft, which hosts the mailbox your message arrives in.

We do not sell your information. We do not rent or trade it. We do not share what you write in a form with advertising networks, and we do not use it to build an advertising profile of you. We do not send marketing email to people who only filled in the contact or workflow inquiry form. If you asked us a question, you get an answer, not a newsletter.

Your message is stored in our internal systems and arrives as email. We keep both for as long as we need them to answer you and to keep an ordinary record of the conversation. We have not set a fixed deletion schedule, and we would rather tell you that than invent one. If you want your information deleted, email us and we will delete it.

Write to info@solvedsystems.com and we will tell you what we hold about you, correct it, or delete it. You do not need to give a reason, and you do not need to live anywhere in particular for us to honor the request.

You can block or delete cookies in your browser settings, and Google publishes a browser add-on that opts you out of Google Analytics entirely. Neither will stop this site from working.

This site sells engineering services to businesses. It is not directed at children, and we do not knowingly collect information from anyone under 13.

If we change how this site collects or uses information, we will change this page and update the date at the top of it.
